How Magixis answers your calls, and how quickly you go live.

You forward your business number to us. The agent answers in your words, books into your diary and writes the call up afterwards. On Lite you set that up yourself and can be answering calls the same day. On Pro and Command we listen to a week of your real calls first, build the script from them, and put the agent live inside two weeks.

Which route applies to you?

Two routes, and the difference is who builds the script. Lite is self-serve: you fill in your services, prices and diary rules, and the agent is answering within the hour. Pro and Command include a discovery week where we listen to your real calls and write the script from them, plus your Magixis CRM, recordings and transcripts.

Day 0 · Monday, week one

What happens the day you sign up?

You pick a tier and forward your business number to our routing number. On Pro and Command you pay the one-off setup fee and we send forwarding instructions for your carrier — BT, EE, O2, Vodafone, Sky or a VoIP provider. On Lite there is no fee and no waiting: you do the same forwarding yourself and switch the agent on.

Nothing else changes. Your phone rings the way it always has and your team answers it. On the two-week build the agent stays silent for the first week — it is recording and learning, not speaking.

The kick-off call takes about thirty minutes: your services, your prices, the rules your diary actually runs on, and who should be interrupted when something is urgent.

Day 1–4 · Tue–Fri, week one

Why do we listen to a week of calls first?

Because a script written from a template sounds like a template. For one full working week your calls ring through to you as normal and are recorded in parallel — usually between 80 and 200 calls, depending on your volume.

What we take from them:

  • The questions your callers ask most, in the words they use
  • The phrases your team answers with, and the ones that land
  • Where a call stalls — the price question, the thing you don’t do
  • The diary, deposit and CRM rules you apply without thinking about them

Recordings from the listening week are held under the same terms as live calls: 30 days for audio, 90 for transcripts, stored in the UK and EU only. The detail is on the trust page.

Day 7–9 · Mon–Wed, week two

What are we building in week two?

Monday and Tuesday are the build. We assemble the script from the listening week, set up your Magixis CRM and diary, choose the voice — Manchester, neutral British, or softer Northern — set the urgency rules that decide what interrupts you and what waits until morning, and stand the agent up on a sandbox number only you can ring. The agent runs on Vapi infrastructure; the sub-processor list is published in full.

Wednesday is yours. Ring it. Try to break it. Ask the awkward question your real callers ask — the one about price, or the job you don’t take. Anything that comes back wrong is fixed before your number points at it, and you sign off the script before go-live.

Day 10–14 · end of week two

What happens on go-live day?

At 8am your business number routes to the agent, which answers on the first or second ring. You do nothing on the day. From the caller’s side, the phone is now answered every time by someone who knows your services, your prices and your diary — at 9pm on a Thursday as readily as at 10am on a Tuesday.

Your first summary lands at 7am the next morning: every call from the past 24 hours, who rang, what they wanted, what the agent did about it, and anything flagged for you. Flagged calls also come through by SMS if you want them to. Recordings and transcripts sit in the live dashboard alongside the bookings.

Your own phone still works. Anything the agent can’t settle warm-transfers to whoever is on call, under the rules you set on Monday.

Month one onwards · the tune

What happens after go-live?

Once a month, on a fixed day you can put in the diary, there is a 30-minute review. We bring three recordings where the agent fumbled; you bring anything your customers have said to you; the script is updated and every change is logged against the date. Skip the call if you prefer and take the written summary — the work is ours either way.

The same call data answers questions your diary can’t. Which enquiries are growing month on month. Which services people ask for that you don’t offer. Which postcodes ring most often. Those are marketing and product decisions, made from what your own phone is telling you.

If it isn’t working

You can stop, and get the setup fee back.

On Pro and Command, tell us within 14 days of go-live that it isn’t working and we route your number back to you and refund the setup fee. Call charges already incurred aren’t refunded — you pay only for the calls we answered. No argument to have, no notice to serve.

On Lite there is nothing to unwind: switch the agent off in the dashboard and the billing stops that day, because you only ever pay for calls it answered.

Ordinary cancellation on Pro and Command is 30 days’ notice, any month — we bill the notice period and stop. No minimum term, no exit fee. The full terms are on the pricing page.

Questions we get asked before signing

The practical objections, answered.

Yes. Your number stays with your carrier and you forward it to our routing number, so nothing is ported and nothing is transferred out of your control. Unforward it and calls ring back to your own handset within minutes. We send forwarding instructions for BT, EE, O2, Vodafone, Sky and the main VoIP providers.

On Lite, the same day — you set it up yourself, and most people are answering calls within the hour. On Pro and Command it is ten working days from the Monday you sign up: five of those days are the listening week, two are the build, one is your testing day, and the agent goes live at the end of the second week.

It says so rather than guessing, then does whatever your escalation rules say — take a message, warm-transfer to your on-call mobile, or book a call back. The call is flagged in your 7am summary and, on Pro and Command, the recording goes into the pile we review at the monthly tuning session.

Yes. Every Magixis agent reads a consent statement at the start of every call, written to conform to ICO guidance: the caller is told before the conversation begins and can ask for a human. We don’t run agents that pretend to be a named member of your staff.

Inbound calls are processed under Article 6(1)(f) with notification at the start of the call. Recordings are kept 30 days by default and transcripts 90 days, with per-client overrides where your sector requires longer. Storage is UK and EU only, and a DPA is signed at contract. On Pro and Command your Magixis CRM and diary are set up as part of the build, and that is where every call is written up. Where you already run job software or a diary — ServiceM8, Reapit, Google Calendar — bookings can land there as well; tell us what you use on the kick-off call. Lite sends bookings and messages by email as they happen and writes to Google Calendar.

Yes, and on Lite it’s the most common way to start. You set the hours the agent answers and turn it on or off from the dashboard. Your receptionist keeps the calls they can reach; the agent picks up the overflow, the lunch hour, the evenings and the weekend.

Calls run from 70p a minute. Lite has no setup fee and no subscription: £1.35 for each minute we answer, and nothing in a month with no calls. Pro is £995 once, then £99 a month and 85p a minute. Command is £2,950 per site, then £499 a month and 70p a minute. On price alone, Pro overtakes Lite at roughly 198 answered minutes a month. Every rate is on the pricing page.
